Who we are (data controller)

This RSVP website is run by the couple getting married (“we”, “us”). We are the data controller for personal data collected via this RSVP site.

What personal data we collect

When you RSVP, we may collect:

• Your name and the names of people in your party
• Your attendance response (yes/no) and any guest details you provide
• Dietary requirements / allergies / other notes you enter
• Whether you require local accommodation (if asked)
• Your invitation code (to match your RSVP to your invitation)
• Contact details (email and/or WhatsApp number) held in our invitation list so we can send your RSVP link, reminders and essential logistics updates (for example timings, travel/parking information, accommodation details, and other necessary guest information). This may have been provided by you or by someone in your party/family when creating the invitation list.

We may also collect limited technical information needed to operate the site securely (for example basic server logs).

How we use your data (purpose)

We use your personal data only to:

• Manage and record RSVPs for our wedding
• Plan the event (including seating, attendance numbers, accessibility needs)
• Plan catering, including dietary requirements and allergies
• Send RSVP links, reminders, and essential logistics updates (by email and/or WhatsApp) needed for wedding planning

We do not use your data for marketing or unrelated purposes.

Lawful basis for processing (Article 6 UK GDPR)

We process RSVP data and contact details because it is necessary for our legitimate interests in planning and running our wedding event (for example, knowing who is attending and communicating essential event information).

Dietary requirements / allergies (special category data)

If you provide information about allergies, dietary requirements, or health-related needs, this may be special category data (data concerning health) and needs extra protection.

We process this information only for the purpose of safely planning catering and guest welfare. We rely on your explicit consent for processing this special category information (you choose whether to provide it). You can withdraw consent at any time by contacting us.

Who we share your data with

We share RSVP information exclusively with Eastwell Manor for wedding planning and catering (for example attendance numbers and dietary requirements).

We do not share your email address or WhatsApp number with Eastwell Manor. If we ever needed Eastwell Manor to contact you directly (for example, about a specific requirement you asked us to pass on), we would ask for your further consent first before sharing your contact details.

International transfers

We do not intentionally transfer your personal data outside the UK.

How long we keep your data (retention)

We keep RSVP data only for as long as needed for wedding planning and administration. We will delete it within 28 days after the wedding date (26 June 2026). This deletion includes RSVP submissions and invitation list contact details (email/WhatsApp).

Your rights

You have rights under UK GDPR, including the right to request access to, correction of, or deletion of your personal data (where applicable), and to object to processing in certain circumstances.

Where we rely on consent for special category data (dietary/allergy information), you can withdraw consent at any time.

Complaints

If you have concerns about how your data is handled, please contact us first at privacy@hopkins35.co.uk. You also have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO).
